An excellent opportunity has arisen for an experienced PA to join a long-standing organisation based in Plymouth. Your main role will be to provide administrative and secretarial support, deal with enquiries via telephone and email, as well as diary management. The successful candidate will have previous experience of working as a PA to a senior manager in a professional office environment, an open and welcoming manner, and strong IT skills. The organisation is an international charity whose focus is the most underprivileged and vulnerable in our society, from refugees and the homeless to the elderly and lonely.  Applicants must have an interest in this area and be committed to the nature of work the charity does.

This position is a part-time, 6-month Fixed Term Contract covering maternity leave, working 28 hours per week across 4 days.

Responsibilities:

  • Use electronic and digital dictation in order to produce letters and other documentation
  • Deal with enquires promptly via telephone, email, mail, and in person
  • Frank and post mail daily
  • Diary management using paper and electronic means
  • Organise travel including booking trains and flights
  • Complete expenses and mileage returns in line with the business' processes
  • Create and maintain electronic databases
  • Produce booklets, reports, and other documentation as required
  • Maintain accurate and confidential filing systems
  • Liaise with other departments as required
  • Arrange meetings and proactively put together all the information required for the meetings
  • Take, and type up, accurate and confidential notes in meetings
  • Collate data and statistics for reports as required
  • Produce Excel spreadsheets and other Microsoft office documentation as required
  • Ensure the office is organised and there are suitable levels of stationery and other materials
  • Ensure confidentiality at all times

Requirements:

  • Experience of working as a PA to a senior manager in a professional office environment
  • Ability to work with confidential information
  • Ability to work alone at times
  • An open and welcoming manner
  • Proven IT skills and proficient in using Microsoft Office packages
  • Excellent organisational skills
  • Good attention to detail
  • An honest and open approach with high levels of integrity
  • A confidential, positive and supportive attitude
  • A willingness to learn and to develop skills and knowledge
