Do you have excellent organisational skills? Are you looking for an office role with variety? Our client, a leading UK law firm, requires an Office Assistant to join their Legal Support Services team based in Exeter on a full-time, permanent basis. The main purpose of the role is to provide administrative support by updating and maintaining files, preparing court bundles, assisting with the organisation of internal and external events, booking travel arrangements, and file opening/closing. The successful candidate will have previous administrative experience, proficient IT skills, and a proactive and professional approach to work.

Responsibilities include: -

  • Liaise with the PA to provide support to Client & Marketing for scheduling tender meetings, directory interviews, client training etc
  • Update and maintain all files, ensuring documents are filed correctly
  • File opening and closing – matters are set up on the relevant document/case management system
  • Undertake all file closing/ archiving procedures
  • Assist the PA as directed in the organisation of internal and external events, seminars, and conferences
  • Book travel, print/send materials, arranges give-aways
  • Order all promotional goods and ensure stock levels
  • Make room and taxi bookings as requested, organising hand deliveries and courier requests, and other ad hoc requests
  • Answer internal calls for other members of the team
  • Assist with expenses and billing
  • Create and upload information to client data rooms, in line with instructions from Lawyer and PA
  • Production of court bundles, ensuring the master bundle is correctly prepared in line with Lawyer instructions and court rules and instructions provided to document solutions to complete printing/copying of master bundles

Requirements: -

  • An effective communicator with the ability to liaise with internal and external clients in a professional manner
  • Good organisational skills and ability to manage own time effectively within a fast-paced environment 
  • Conscientious, taking personal responsibility for own work and accountability for its delivery and quality 
  • A positive can-do attitude with the ability to adapt to change 
  • A sharp eye for detail 
  • Customer service focused and deliver exceptional service at all times 
  • Proactive, professional, and flexible approach to work  
  • Relevant office-based administration experience
  • Experience of document management/case management systems
  • Intermediate knowledge of Microsoft OfficeBottom of Form
