Our client, an educational establishment based in Exeter, requires an HR Administrator to join their team on a full-time, temporary basis. Your main duties will include, preparing HR reports by collecting, analysing, and summarising data/ trends, assisting with payroll administration, supporting the HR Advisor with coordination of the recruitment process, and delivering a high-quality, professional HR service to the business. The successful candidate will have previous experience in a busy and fast-paced administration role, a methodical approach to work, and a full clean UK driving licence with access to own transport.

The duration of this post is approximately 3 months. The role has potential to go permanent for the right candidate.

Responsibilities include: -

  • Manage individual payroll claims, authorisations, and ongoing administration requirements within the payroll system
  • Prepare and send new contract letters advising payroll in a timely manner of any changes, ensuring payroll timelines are observed
  • Take minutes at formal meetings (e.g. discipline, grievance, capability, absence)
  • Provide administration support to the auto-enrolment pensions process
  • Support the HR Adviser in co-ordinating the recruitment process
  • Administer the external adverts on required websites
  • Support with recruitment days, including being the HR representative onsite to ensure smooth running and good candidate experience
  • Issue offers and contracts of employment for all employees
  • Ensure that hard copy and electronic employee records are accurate and up to date, ensuring compliance with legislation
  • Responsible for data entry, regular and ad hoc reporting, and administering an annual data cleansing exercise
  • Manage a central HR policies folder
  • Administer absence reporting and recording processes, ensuring that all absence is reported, recorded, and followed up in accordance with the appropriate policies and procedures
  • Willing to travel to any site within the organisation as required

Requirements: -

  • Minimum of 5 GCSE’s grade C/level 5 or above, to include Maths and English
  • Proven experience in a busy and fast-paced administration role
  • Level 3 HR or Business Administration qualification (desirable)
  • Willingness to undertake further professional qualifications (desirable)
  • Proven experience within an HR administration role (desirable)
  • Proven experience in a role handling and maintaining confidential information
  • Experience of managing priorities to meet agreed deadlines/timescales
  • Proficient in using IT packages, including Word, Excel, and database/record systems
  • Excellent organisational and planning skills 
  • Proactive and methodical approach in management and prioritisation of tasks
  • Able to build and maintain professional and effective working relationships
  • Personable, customer-focused, and enjoys meeting people
  • Flexible attitude in supporting the overall team and workload, supporting to work outside normal working hours when occasional and reasonable requests are made
  • A full clean UK driving license and access to own transport
