This is an excellent opportunity for a Financial Services Administrator / IFA Administrator to join a successful business based in Exeter city centre. Reporting to the Head of Financial Planning, the main purpose of the role is to support Financial Planners to meet business targets, ensure the filing system is kept accurate, compliant and up-to-date, and provide a high level of service to clients. The successful candidate will work well in a team, have excellent organisational skills as well as previous experience of working in financial services administration.

This is a full-time, permanent role, working 5 days per week. Flexible working is available, including a combination of working from home and in the office.

Responsibilities:

  • Support the financial planners to meet business targets
  • Act as day-to-day point of contact for client service to resolve administrative issues
  • Manage financial planner’s diaries by booking meetings
  • Help financial planners prepare for meetings
  • Assist Paraplanners to conduct product and investment research
  • Ensure files are compliant and complete
  • Process new business and track to completion
  • Write letters to clients and providers as appropriate
  • Provide a high level of service to clients, including regular valuations
  • Perform general office administrative tasks, such as handling post & emails
  • Maintain and update back office systems, including Wrap platforms
  • Help organise events and seminars
  • Perform other ad-hoc task in the office as required

Requirements:

  • Previous experience of working in an IFA admin support role
  • Knowledge of FSA compliance procedures would be advantageous
  • Experience of delivering exceptional customer service in an office-based working environment
  • Personable, with a good telephone manner
  • Strong MS Office skills, particularly Word, Excel, Outlook and PowerPoint
  • A good working knowledge of Intelligent Office (IO) would be desirable
  • A high level of organisational ability, combined with a keen eye of detail
  • The ability to prioritise tasks and handle large amounts of paperwork efficiently
  • A self-starter, with the ability to organise themselves without close supervision, but able to work as part of a team, particularly with the financial planners
