Facilities Management Assistant required to join an ambitious and growing organisation based in Exeter on a full-time, permanent basis. You will be part of a small, friendly team that liaises with external contractors/partners to ensure the organisation’s property portfolio are all safe, legally compliant, and well maintained.  Your main role will be to take a lead on day-to-day facilities management and provide impeccable support to internal customers. The successful candidate will have previous experience of delivering Facilities Management duties across multiple premises, and knowledge/experience of working with health & safety legislation and guidelines.

You will also need a full UK Driving Licence and own vehicle as ability to travel to different locations throughout Devon may be required.

Responsibilities include: -

  • Through day-to-day planning and co-ordination, proactively manage, evaluate and audit the provision of facilities services within the organisation’s premises to ensure maintenance of service levels
  • Act as the first contact point for all premises related enquires, appropriately prioritising and responding to calls through the Help Desk system, and escalating issues as required to the Premises Manager
  • Liaise and effectively communicate with staff, contractors and other departments to ensure that necessary works are carried out in a cost effective and timely manner
  • Manage a programme of regular inspections and checks, such as cleaning audits, PAT testing, servicing of automatic doors etc within the portfolio of premises and where required, arrange corrective/remedial action to meet minimum organisational standards
  • Identify and resolve a range of problems and risks, setting up new processes and ways of working in order to meet internal needs and required standards
  • Support local refurbishment projects, and FM new and minor works in line with Construction Design and Management (CDM) regulations
  • Oversee essential contracts including, but not limited to: security, maintenance, cleaning, waste disposal, recycling
  • Use various database and spreadsheet computer packages to create and maintain appropriate records, collate information received and generate statistics for analytical purposes as required
  • Schedule and attend meetings, including those with partner organisations and contractors, and take formal minutes when required
  • Monitor/ review site expenditure against allocated budget and bring to the attention of the relevant manager any positive/negative variances
  • Contribute to the preparation of formal reports, documents and presentations as required

Requirements: -

  • Experience of delivering Facilities Management duties across multiple premises, including repair and maintenance programmes, and health and safety responsibilities
  • Knowledge and experience of working with health and safety legislation and guidelines
  • Knowledge and experience of compliance checks on building-related issues and ensuring premises comply with legislation
  • Educated to NVQ level 3, City & Guilds certification, BTEC in a relevant subject area or equivalent experience
  • IOSH Managing Safety qualification (desirable)
  • Willingness and ability to travel throughout Devon as required
  • Ability to multi-task and prioritise workload
  • Excellent written and verbal communication skills
  • Strong and effective influencer and negotiator
  • Ability to build strong and positive working relationships both internally and externally with partners, contractors and suppliers
  • Methodical with excellent attention to detail
  • Acts with discretion, tact and diplomacy
  • Proactively looks for opportunities to be innovative and entrepreneurial
