Our client, a well-established business based in Exeter, is looking for an experienced Administrative Assistant to join their friendly team on a full-time, permanent basis. The purpose of the role is to provide a range of administrative services to the company, ensuring the smooth running of the office. Duties will include answering customer queries via email and telephone, placing orders, processing invoices, and producing reports. The ideal candidate will have proven office/administration experience, be proficient in using MS Office, and have excellent time management skills.

Hours are Monday to Friday, 9 am – 5 pm.

Responsibilities include: -

  • Work as part of a team to provide a range of administrative services for the catering division to ensure effective business support
  • Take responsibility for answering incoming calls and queries, emails and responding appropriately
  • Contribute to and help prepare monthly reports and statistics on operations and finances where directed
  • Answer general emails and postal correspondence with customers and training providers/suppliers
  • Manage all processes around company vehicles
  • Be responsible for providing artwork and typing for training manuals/signage/flyers/menus
  • Place orders and process invoices
  • Attend team meetings and take minutes
  • Manage catering resources
  • Generate and maintain a database of catering staff
  • Producing reports on audits, mystery shoppers, etc.
  • Develop and set up office systems to improve the efficiency of the admin team
  • Production and distribution of monthly newsletters
  • Special projects as required
  • Production of complex documents including tenders and presentations
  • Be responsible for keeping accurate records, which are filed and achieved as appropriate

Requirements: -

  • Proficiency in MS Office
  • 2 GCSE’s A-C (New Scoring 5 or above) in English and Mathematics or equivalent
  • Knowledge of office systems and procedures
  • Proven office, administrative, or assistant experience
  • Excellent time management skills and ability to multi-task and prioritise work
  • Attention to detail and problem-solving skills
  • Good communication and interpersonal skills
  • Ability and willingness to promote and encourage a ‘can do attitude’
  • Good team worker who is willing and able to assist other team members when required
  • Professional attitude to work and appearance offering excellent customer service at all times
